Who You Are:

We are seeking 2 friendly and knowledgeable Virtual Assistant to join our team. Our client is a high-growth marketing agency with offices in Canada and the US who are looking for more administrative help.

Primary Responsibilities:

  • Monthly Reporting: prepare accurate monthly reports through diligent note-taking, spell-checking, and incorporating relevant data
  • Onboarding Support: facilitate the onboarding process by duplicating essential documents, setting up Slack channels and Asana projects, and executing necessary reports.
  • Task and Project Management: effectively handle Asana tasks and projects by generating them in response to incoming emails.
  • Phone.com System Maintenance: maintain the Phone.com system by adding personnel and updating the holiday schedule for seamless management.
  • Lead Tracking: track and record lead sources, inputting data into the sales spreadsheet for informed decision-making.
  • Platform Audits: conduct comprehensive audits on various platforms (Bright Local, exclusivity tracker, GBP Manager) to ensure adherence to standards and regulations.
  • Vacation Schedule Coordination: coordinate vacation schedules by scheduling reminders and effectively communicating expectations to employees.
  • Client Relationship Management: manage client relationships by adding new clients, highlighting cancellations, and updating formulas for monthly sales leads.
  • Website Enhancement: enhance the online presence of the company website by adding blogs, formatting content, and ensuring consistency in style and tone.
  • Comprehensive Support: provide comprehensive support by monitoring the VP email inbox, managing calendar bookings, triaging inbox emails, and promptly adding tasks in Slack and Asana.

Qualifications:

  • Minimum 3-4 years of administrative assistant experience
  • 2-3 years of SEO and Marketing Experience (preferable)
  • A quiet work environment
  • Computer and headset with microphone
  • Stable internet connection
  • Strong memory and typing speed (50 WPM minimum)
  • Excellent communication skills and professional demeanor
  • English Proficiency Certificate (preferable)
